  • We designed and implemented a fully automated, scalable solution using Azure's cloud services. The system automates invoice ingestion, data extraction, multi-level approvals, and archiving, ensuring both efficiency and compliance.

Technology Stack

  • Azure Logic Apps – Orchestrates the end-to-end automation workflow.
  • Azure Form Recognizer – Uses AI to extract invoice data like vendor, amount, dates, and line items from PDFs and scanned images.
  • Azure Blob Storage – Stores original and processed invoice documents securely.
  • Azure SQL Database – Stores structured invoice metadata and status logs.
  • Azure Functions – Custom business logic for validation (e.g., matching with purchase orders or budget thresholds).
  • Power Automate + Teams – Triggers approval flows and notifies finance teams for exceptions.
  • Azure Monitor + Log Analytics – Tracks system performance and ensures auditing & traceability.
  • Azure Key Vault – Securely manages API keys and connection strings.

Automation Flow

  • Vendors email invoices to a monitored mailbox.
  • Logic Apps fetches attachments and saves them to Azure Blob Storage.
  • Form Recognizer extracts data and passes it to Azure Functions for validation.
  • If data passes validation, it’s stored in Azure SQL and routed for auto-approval or manual review via Power Automate + Teams.
  • Upon approval, invoice status is updated, and the document is archived in a secured blob container.
  • Azure Monitor and Log Analytics provide real-time dashboards and auditing reports for compliance teams.
